Privacy
How we protect your community’s data
Privacy is not a policy document here. It is the architecture. Here is exactly what is enforced at the database level, not just by policy.
Admins never see individual data
Your admin account has no database access to individual mood entries, journal content, or member identity within wellness data. This is enforced at the database level, not just a policy.
Groups of 5 or more only
Aggregate data is only shown when 5 or more members are active. Smaller groups show no data at all. This prevents inference of individual mood from group averages.
Explicit member consent
Every member reads a clear consent screen before joining your workspace. They understand exactly what you can and cannot see before they agree. No dark patterns.
Members can leave any time
Any member can leave your workspace from their profile. Leaving does not delete their personal Circle account or data. Their history stays with them.
NZ Privacy Act 2020 compliant
Circle is built by a New Zealand company for NZ organisations. Your members’ data is handled under NZ law. Data is hosted on infrastructure with a signed Data Processing Agreement including international transfer safeguards.
We do not sell data. Ever.
Circle has no ad business. No data broker relationships. No third-party analytics on member wellness data. This is structural, not just policy, and it will not change.
What we have, honestly stated
We are a small NZ-built product. We do not hold external security certifications (SOC 2, ISO 27001). What we do have: a signed Data Processing Agreement with our infrastructure provider (Supabase), database-level privacy enforcement tested before every release, GDPR-compliant data export and deletion, and NZ Privacy Act 2020 compliance by design. What if a member is going through a hard time?
Circle is a daily habit tool, not a clinical or crisis service. It does not create individual alerts, and your admin dashboard shows only blended group trends. You are never placed in a position of acting on individual wellness data.
Every member has access to wellbeing support resources from within the app, at any time. These are built in and cannot be switched off by any admin. Circle is designed to sit alongside your existing support structures, whether that is an EAP, a pastoral care team, or a people leader.
